AI for Administrative Professionals: 20 Ready-to-Use Prompts to Get You Started

If you’re an administrative professional, you already know that your job isn’t just about "admin."
You’re the glue that holds the office together. You’re a project manager, a gatekeeper, a travel agent, and a professional fire-extinguisher all rolled into one.
Your to-do list doesn't just grow; it multiplies.
Lately, there’s been a lot of talk about AI. You’ve probably seen it in the news or heard your colleagues mention ChatGPT.
Maybe you’ve even tried it once or twice but ended up with a response that felt a little… generic.
I’ve heard from so many assistants and office managers who want to use AI but aren't quite sure where to start or how to make it actually useful for their specific daily tasks.
The good news?
AI isn’t here to take your seat at the table. It’s here to be the most efficient assistant you’ve ever had.
In my AI productivity workshop sessions, I always say that AI is like a very smart, very eager intern. It’s fast, but it needs clear instructions to do a good job.
Today, I want to give you a head start. I’ve put together 20 practical, ready-to-use prompts designed specifically for the things you do every single day.
Whether you’re juggling calendars, drafting memos, or trying to make sense of a messy spreadsheet, these prompts will help you get it done in half the time.
The Secret to Getting Better Results
Before we dive into the list, there is one thing you need to know about "prompting." Think of a prompt as the set of instructions you give to the AI. If your instructions are vague, the result will be vague.
In a prompt engineering workshop, we talk about giving the AI "Context." Instead of saying "Write an email," you say "You are an Executive Assistant. Write a friendly but firm email to a vendor about a late shipment."
See the difference?

If you want to dive deeper into how to stop getting those "robot-sounding" results, you might find this post on the one simple prompt engineering trick to stop getting generic results really helpful.
Category 1: Mastering Your Inbox
Emails can eat up hours of your day. These prompts help you sort through the noise and draft professional replies in seconds.
1. The "Inbox Triage" Prompt "I am going to paste 10 emails here. Please summarize each one in a single sentence and flag any that require an urgent response from me today."
2. The Out-of-Office (OOO) Drafter "Create a professional, concise out-of-office email for [Name] who will be away from [Date] to [Date] for [Reason]. Include [Contact Name] as the point of contact for urgent matters and use a friendly, helpful tone."
3. The Polite "No" "Draft a polite and professional email declining an invitation to speak at a conference on behalf of my manager. Mention that her schedule is currently full for the quarter, but we appreciate the offer."
4. The Follow-up nudge "Write a short, friendly follow-up email to [Person] regarding the [Project] proposal we sent last Tuesday. We haven't heard back, and we want to ensure they have everything they need."
Category 2: Scheduling Like a Pro
Calendar management is an art form. AI can help you find gaps and organize even the most chaotic schedules.
5. The Daily Game Plan "I have these 5 tasks to complete today: [Task 1, 2, 3, 4, 5]. Create a schedule for me that ensures I finish by 5:00 PM. Include a 45-minute lunch break and two 10-minute 'reset' breaks."
6. The Travel Itinerary Builder "I am organizing a business trip to London for my executive. Based on these flight and hotel confirmations [Paste details], create a clean, chronological itinerary table including confirmation numbers, addresses, and travel times."
7. The Buffer Time Calculator "My manager has back-to-back meetings from 9:00 AM to 1:00 PM. Review this list of meetings and suggest where we should move one meeting to ensure there is at least a 15-minute 'bio break' or prep time between sessions."
8. Meeting Agenda Creator "We are having a 60-minute team sync about [Project X]. Based on these notes [Paste notes], draft a formal meeting agenda with time allocations for each topic and a section for 'Next Steps'."
Category 3: Meetings That Actually Lead to Action
How many times have you sat through a meeting, taken pages of notes, and then wondered what actually needs to happen next?
9. The "Notes to Action" Converter "I am going to paste my raw, messy notes from today's board meeting. Please turn them into a structured action plan. Use a table with columns for: Task, Person Responsible, and Deadline."
10. The Executive Summary "Summarize these meeting minutes into three bullet points that I can send to the leadership team. Focus only on the final decisions made and the biggest risks identified."
11. The "Identify the Gaps" Prompt "Read these meeting notes. Are there any tasks mentioned that don't have a clear owner or a specific deadline? List them out so I can follow up."
12. The Thank-You Follow-up "Write a warm follow-up email to the attendees of today's workshop. Thank them for their time, include a link to the slide deck [Link], and remind them that the feedback survey is due by Friday."
Category 4: Operations and Office
Documentation
Documentation is vital, but let’s be honest, it can be tedious. Let AI do the heavy lifting for your SOPs and memos.
13. The Job Description Assistant "Draft a job description for an Administrative Assistant position. We are a fast-paced creative agency. Include sections for 'Key Responsibilities,' 'Required Skills,' and 'What We Offer.' Keep the tone energetic and welcoming."
14. The SOP (Standard Operating Procedure) Drafter "Write a step-by-step guide for our new office coffee machine based on this user manual. Make it very simple so even someone in a rush can understand it. Use bullet points."
15. The Internal Memo "Draft an internal memo to all staff about the new office security protocols. Explain that everyone needs to wear their badges at all times starting Monday. Keep it firm but helpful."
16. The Event Checklist "I am planning an office holiday party for 50 people. Create a comprehensive checklist of everything I need to organize, from catering and decorations to invitations and dietary requirements."
Category 5: Research and Organization
Data entry and research are where AI really shines as a productivity partner.
17. The Spreadsheet Formula Helper "I have a spreadsheet with names in Column A and Email addresses in Column B. Write an Excel formula that will tell me if the email address in Column B contains the word 'gmail'."
18. The Data Cleaner "I am going to paste a list of names and addresses that are formatted inconsistently. Please reformat them into a clean list: First Name, Last Name, Street Address, City, State."
19. The Vendor Comparison "I need to book a catering service for an upcoming lunch. Here are three quotes [Paste quotes]. Create a table comparing them based on price per person, menu variety, and delivery fees."
20. The Research Assistant "Find five highly-rated hotels in downtown Chicago that have a business center and are under $300 a night for the dates of October 12-14. Present your findings in a simple list."

Using these prompts is a fantastic first step. You’ll immediately notice that you’re spending less time staring at a blank screen and more time actually managing your day. But the real magic happens when your entire team starts using these tools in sync.
This is exactly why I provide AI training for employees. When everyone understands how to talk to the AI, the whole office moves faster.
Communication becomes clearer, and the "busy work" that usually drains your energy starts to disappear.
If you’re finding that these prompts are saving you time, imagine what a full day of hands-on training could do for your department.
We look at your specific workflows and build custom prompts that fit your unique office culture.
You can see how we structure our sessions and check out our pricing and plans to see what might fit your team. It’s all about making AI work for you, not the other way around.
Remember, AI is just a tool, like a calculator or a computer. It’s your experience, your judgment, and your personal touch that make you indispensable. AI just gives you the room to focus on those things.

Give these prompts a try this week and see which ones become your new favorites!
